The sort of information we collect depends on what you need us to do for you, or how much information we need to identify who you are and resolve your query. This may include:
Your name, address, telephone number, email address. This information is taken to allow us to deliver goods, to contact you if there is any issue with delivery and as a record of goods purchased from us for proof of purchase and guarantee purposes, service calls, manufacturer’s safety recalls/modifications which could be needed many years from the date of sale. We retain this basic information for reference to assist you with any queries or problems.
Your signature and other appropriate information when you have a return to acknowledge receipt of any refund and help us guard against theft and fraud. Your contact details if you enter a competition.
We use third parties to perform some contracted services on our behalf and in such cases, they have limited access to certain personal information in order to undertake the work. In such cases, they may only use personal information strictly as instructed and never for their own purposes.
If you apply for credit we may share certain information with third parties. For Hyland’s hire agreements we may use some of your data to perform a credit reference agency (CRA) search and to help us to reach a lending decision. For credit agreements we will submit the information you provide as requested by the third party credit provider. This information is required under our compliance responsibilities as a lender, and to protect against fraud. When CRAs receive a search from us they will place a search footprint on your credit file that may be seen by other lenders. They supply to us both public (including the electoral register) and shared credit and fraud prevention information. Where a written record of your information is made to verify the information with your signature, or as part of the contract, this will be held for the duration of the contract for legal reasons. Written copies of bank standing orders are retained for the duration of the contract. If your application is unsuccessful or if your account is closed for any reason, Hyland’s will only hold your information for so long as is necessary to comply with its legal and regulatory obligations or to defend itself against any claims. We are authorised and regulated by the Financial Conduct Authority.
If you make a large purchase we may share certain information with fraud prevention agencies ("FPAs"). These companies are used for verifying identities to prevent and detect crime and money laundering as per our legal obligations. If you give us false or inaccurate information and we suspect or identify fraud, we will record this and may also pass this information to FPAs and other organisations involved in crime and fraud prevention.
If we are asked or required to register a third party extended warranty or offer on your behalf, we will share details of the product supplied along with your contact details to the manufacturer/insurer or their agent. If you register for a third party warranty or offer, you will have to provide the details. These parties may use your information for their own marketing purposes. If you do not wish to receive this, you must notify the third party. Any extended warranty may not be honoured by these companies if you do not register your details. We are not liable for third party offers. We may retain a written record as proof that we have advised or registered the item for you, in case of query.
For Hyland’s own maintenance contracts and general service calls we will only share your name, address, contact number and the product details in the event that a third party repairer is used to undertake a repair on our behalf. Printed maintenance contracts will be stored until just after the expiry date. Our computer system retains a record of the maintenance as part of your purchase history, as for sales.
We may pass on your personal information if we have a legal obligation to do so for instance to the police or another authority, or in the event of fraud or suspected fraud, none payment to a solicitor or debit collection agency for instance, or if there is a safety recall and a manufacturer needs to contact you.
We maintain appropriate administrative, technical and physical security safeguards to protect against loss, misuse or unauthorised access, disclosure, alteration or destruction of the personal information you provide on our website, in our stores and through other means. However, we cannot guaranty the effectiveness of these safeguards, and nothing in this notice shall be construed as an express or implied warranty against loss, misuse or unauthorised access, disclosure, alteration or destruction.
You can find out what information we hold about you by emailing via the contact us page of our website or writing to our registered Head Office address. You will need to provide proof of your identity before we can discuss personal data. We will correct any data held which is incorrect. If you do not wish us to retain your information we will delete the records we hold on request, however you should note that we will not be able to assist in any future guarantee issues or safety recalls if your basic information is removed.
